Definitions:
References to “we”,”our”,”us”, and “Diorama Room” means Diorama Room, LLC. “Tune in to Green” and “series” means the Tune in to Green short film series and/or the Tune in to Green Vimeo-on-Demand page, https://vimeo.com/ondemand/tuneintogreen. “Film” can mean video or film transferred to video.
Who we are:
Diorama Room, LLC is a small arts organization based out of Austin, Texas. We operate the website https://dioramaroom.com and the short film series, Tune in to Green.
Sensitive personal data:
Diorama Room, LLC does not collect sensitive personal data such as social security numbers, banking information, birth dates, race or ethnicity, political affiliation, gender, sex life or sexual orientation, religious, health status, biometric data, union membership, or income.
Environmental philosophical beliefs are inherent with the functions and activities of our organization, and so may be shared with us via contact and/or submission forms, or direct emails. In turn, visitors to our website and video-on-demand channel will be able to see those ideas expressed as part of the officially selected film context screens. Should the participant choose for their views on the topic to not be disclosed on those platforms, it is up to their own discretion to not include it in their application materials.
What personal information do we collect?
Diorama Room, LLC only collects personal information that the user has shared with us through our submission and contact forms, and/or emails directly to us. If messaging us through our contact form, this includes name and email address. If applying to the Tune in to Green, through our film submission form, it includes name, email address, home city and country. We do not collect or store IP addresses.
Why we collect this information and what we do with it
We only collect information that is necessary for the core functions of our organization. We use it: 1) when contacting you in response to a film submission or email you send to us, 2) to include in film credits of officially selected shorts in the Tune in to Green series, 3) to include your name and home town and country in promotional materials for the series, 4) to share your bio info from the submission form, 5) to share your online portfolio location, and 6) to send you emails announcing our virtual and/or live events and news.
How do we keep this information safe?
We have implemented a variety of administrative, technical, and physical security measures to protect your information. For example, our site is certifiably encrypted with SSL. Once your personal information, links to your work online, and individual video passwords (when applicable), reach us, they are only accessible to the Diorama Room administrator, via a password protected device which is shielded by a full suite of security software and settings.
Is your information sold?
We do not rent or sell your personal information input on our web site forms, email messages, or from anywhere your information is input on Vimeo.
How long is this information kept?
Your personal information will be kept on file indefinitely unless you contact us to opt-out of our mailing list (see below).
Data analysis and analytics:
Diorama Room, LLC does not use personal data to analyze and make predictions for automated decision-making. The analytics about our viewership on Vimeo does not include any personal data. It includes information to help us plan our marketing such as how many views, how many unique viewers, how many finished views, average % watched, cities viewed from, web sites viewed from when links provided, and types of devices viewed from.
Third-parties
We do not share the personal information input into our contact or submission forms, or from email messages, with third parties for any type of compensation or beneficial exchange.
We do not receive data about users from advertisers because we do not sell ads.
In order to perform the necessary functions of our organization, our website uses third-party websites and software listed below. However, we are not responsible for the privacy practices of those third-parties. For your convenience, we have included links to their separate privacy policies.

We use the WordPress plug-in, Gravity Forms, which states on their web page: https://docs.gravityforms.com/wordpress-gravity-forms-and-gdpr-compliance/ , that entries into their forms are not sent to their website or other related domains. That page also states that “Gravity Forms does not set any cookies on the front-end of the site. It does set a cookie on the entry detail page in the admin when an admin views the entry”. In other words, if you use our forms to enter data, a cookie is set.
